因各種內外在環境的變遷，21世紀的企業正面臨著內部改變與成長的壓力，而知識的有效管理便成為企業成功與否的重要一環。一般來說，文件是一種具體化的知識，所以文件管理算是知識管理的一個重要且基本的活動。然而根據調查，一個企業組織之文件作業成本約佔整個人力成本的40%與相當於整體營收的15%，可見文件管理對企業組織的重要性。而就軟體產業而言，在一個軟體專案開發的生命週期中通常會產生大量的文件，但產生這些文件的方法與儲存介質各有不同，因此如何有效地做好文件的整合與管理，對軟體組織而言是一項很重要且值得的投資。
本研究根據文獻探討以及實際案例的調查，彙整出軟體專案生命週期中文件管理最易遭遇的困難點，進而並提出一個文件管理的架構與其系統所需之功能描述。讓文件可以在紙本與電子檔間進行轉換，因此紙張文件與各種格式的電子檔便可以很容易地整合在同一起，且文件與文件間也可以經由關連的建立，使文件與文件間能互相參考，用以解決軟體專案需求追溯的問題。最後，本研究並輔以一實際個案公司內之專案來展示與驗證所提出之架構的實用性。

Enterprises are facing various kinds of issues in the 21st century, such as business process reengineering and quality improvement. Externally environmental changes make enterprises change internally. In General, these changes are based on the knowledge and been stored in various forms of documentation. Surveys revealed that document management accounts for up to 40 percent of the labor cost and 15 percent of its revenues of an enterprise, which reveals its importance in an enterprise. Within a software project development life cycle, many types of documentation will be produced. These include software requirements specification, low and high level design documents, source codes, user manuals, test specification and reports, meeting records, and so on. These documents are created via different methods and stored in different media. Hence, it is crucial for an enterprise to effectively manage those documents.
Based on the results of literature survey, this thesis emphasizes that “document management is an essential factor for any enterprises to assure the quality of their products or services”, puts forward difficulties of the document management throughout the life cycle of a software project, and summarizes the required functionalities for an effective document management. Accordingly this thesis proposes a document management framework, which enables the document to be easily transformed between traditional papers and electronic files. Consequently, the document can have both the paper’s convenience and digital file’s advantages. Thus, all different forms of digitally electronic files can be integrated into the same document files and their relations can also be established for the cross reference. Such the functions can solve the frequently encountered problems of the document management in a software development project. The thesis also demonstrates how a software organization efficiently performs document management and hence enhances the quality of the delivered products via a real case study.
